Group Christmas meals rarely go wrong because someone picked the wrong venue. They go wrong because the decisions got made in the wrong order. A poll goes round, twelve people vote, four turn out to be from another team, and by the time anyone tries to book, the good dates have gone and nobody has paid a penny.
So here is the order we would use, from watching organisers do this every November and December. It works whichever venue you choose. Where a rule is ours specifically, we have said so.
Start with headcount, not the date
Headcount comes first because it is the only decision that changes what you are booking, rather than just when. Your number puts you in one of four bands, and each one opens or closes doors:
- Under 6. Too small for a Christmas set menu with us. A Christmas dinner booking needs at least 6 guests. You are very welcome as an ordinary table, but it will not be the festive booking.
- 6 to 20. A table booking. The route most work teams and family groups take.
- More than 20. This stops being a table booking and becomes private hire. Different conversation, different contact route, worth starting earlier.
- 30 or more. Only here does a festive buffet become possible. All three of our buffet packages carry a 30-guest minimum, everywhere, no exceptions.
That last one catches people out constantly. Organisers picture a buffet and mingling, build the whole idea around it, then discover their 22 people cannot have one. Find that out in week one, not week four. If you clear 30 and now have a genuine choice to make, buffet or sit-down for large groups works through it.
So get a rough number first. Not a perfect one, nobody has that in October. A confident band will do.
The running order

Each row depends on the one above it. Do row 4 before row 1 and you will be refunding somebody.
Pick the date, and give yourself notice
Our Christmas service runs from 10 November to 20 December 2026, and the 20th is bookable. Outside that window it is our normal menu, perfectly nice but not the festive one.
Check the day of the week before you send the poll round. Christmas sittings run Tuesday to Saturday, plus Sunday from 1pm to 6pm. Mondays are not available, because the kitchen is closed. Half the reason a date poll has to be run twice is that the winning date turns out to be a Monday.
Weekday and weekend are priced differently. For us, weekday means Tuesday to Thursday and weekend means Friday to Saturday. If your group is price sensitive, that single choice moves your budget more than anything else. Prices sit on the Christmas bookings page, pulled from our live system, so what you see is what you pay.
There is a hard minimum of 24 hours' notice. No same-day Christmas bookings. That is not us being awkward, it is a kitchen ordering and prepping against a set menu. If someone suggests sorting it on the night, the answer is no, here and at most places running set menus in December.
Agree the format before you collect a penny
Here is the bit most checklists skip. On our Christmas menu, guests pick 1, 2 or 3 courses individually. The table does not commit as one. Your finance manager can have three courses and the colleague saving for a house can have one, same table, same booking. That flexibility has a consequence:

If anyone is on two or three courses, you are collecting their choices in advance. If everyone is on one course, you are not. Ask early, because "we'll decide on the night" is only true for one of those tiers.
Pre-orders are due seven days before your booking date. That is a real date, so put it in your calendar the moment you book. Work backwards: booking on Friday 11 December means choices with us by Friday 4 December, which means asking your group in the last week of November, because a fortnight of chasing is what it actually takes. Set your own internal deadline a few days ahead of ours and you will never be the one apologising to a kitchen.
On children: there is no kids two-course or three-course option, and no child price for those tiers. Children can order the adult two or three course tier, at the adult price. There is a kids version of the one-course option. Better you know now than budget for child prices that do not exist.
Adults get a glass of prosecco on all three tiers, swappable for orange juice. Children get a Fruit Shoot or a small soft drink with the one-course option. Trimmings are pigs in blankets, stuffing and brussels sprouts. The menu is released closer to the time, so do not build a plan around a specific dish yet.
Collect the deposit before you book, not after
Every Christmas booking with us carries a £10 per person deposit, whatever the party size. Taken at booking, non-refundable, deducted from your bill on the day. Not an extra charge, just your money arriving early.
The classic mistake is booking first and collecting afterwards. Do that and you have personally underwritten fourteen colleagues, then spend three weeks sending increasingly cheerful reminders.
What works instead:
- Put the date, the number and the deposit amount in one message, with your own bank details or payment link in that same message. Not a follow-up. You are collecting from your colleagues, then paying the venue as one deposit.
- Set a deadline before the booking date, and say plainly that the booking goes in with whoever has paid.
- Book the number who paid, not the number who reacted with a thumbs up.
- If stragglers want in later, ask the venue. Adding is a far easier conversation than shrinking.
Because the deposit is non-refundable, book the number you are confident about, not the optimistic one.
Ask the allergen and access questions early, and ask them properly
Collect any allergen or dietary questions in the same message as the deposit. One message, both questions. Chasing this separately in December is miserable, and it is the item most likely to still be open the week of the booking.
Then put them to the venue in writing, with names attached, rather than mentioning them on the phone and hoping. Our position is deliberately plain: see menu or contact us for allergen information. The Christmas menu is not finalised, so we are not going to tell you in August what it does and does not contain. Once it is out, ring 01753 682707 with the specifics and you will get a straight answer rather than a reassuring one.
Put access needs in that same message. It is the same job and the same awkwardness, so do it once and do it early. Here is our honest position: the car park, the bar and the dining area are step-free, and assistance dogs are always welcome. The beer garden has steps down from the bar, and we can put a ramp out if you tell us in advance. We do not have an accessible toilet. That last one is the reason to ask your group in September rather than assume, because it is a genuine reason to book somewhere else and nobody should discover it on the night.
The day itself
Parking and directions. We have 20 free spaces on site, level, floodlit and CCTV covered, no fees and no time limit, plus more parking nearby. Send the postcode, TW19 6AQ, with the invite rather than the pub name, and point people at how to find us. We are 2 minutes from Junction 14 of the M25, about 7 minutes from Terminal 5 and 11 to 12 from the other terminals, 8 minutes from Staines, and outside the ULEZ zone. Buses 441, 442 and 555 run from Heathrow Central Bus Station.
One point of contact. Nominate one person to talk to the venue and take the calls. Not a committee. It stops the kitchen ringing three people and getting three answers.
Who settles the bill. Decide before you arrive, not while everyone is putting coats on. The deposit comes off the total, so make sure whoever pays knows that.
The step everyone skips: check you are booking the right product
This belongs at the top of the list rather than the bottom, and we have put it last because most people only realise it once they have read the rest. A Christmas do near the airport is really two different products, and organisers routinely book one while picturing the other. A hotel party night is a shared ballroom with entertainment laid on. A sit-down Christmas dinner is your own table, your own group, and no disco. We are the second one, deliberately.
Neither is better. But the checklist above only works for the second, because a party night is a ticket you buy rather than a booking you build.
